How It Works¶
Sendout¶
Create a new sendout with Lime Inform¶
Select type of sendout¶
Choose the type of mailing based on the information, Event, Warning or Crisis options. Users of Lime Inform can set which types of these mailings they want notifications about.
Select when to send the message¶
Enter a time when the message is to be sent by clicking in the date field to first enter the date and then the time. If the field is left blank, the message will be sent immediately when you have finished the sendout and clicked on the send button.
Select the time the message is valid from¶
Select a date and time for when the validity period of the message will start. If nothing is entered in this field, the same time as when the message was sent is automatically set.
Select the time that the message is valid until¶
Specify a time when the message will end. If no value is specified, the message is active until it is manually ended.
Message content¶
When the above field has been filled in, it remains to write the message to be sent. Do this by writing a headline for your mailing and then the message.
Message templates¶
For mailings that occur frequently, you can create ready-made text templates, where only certain keywords need to be filled in. To get mail sent quickly without having to rewrite the same standard message every time, you can then choose from your templates. With a template selected, you can use the Select words button to quickly step between the keywords and replace them. When the keywords have been filled in, you click on the Done button to complete the message.
Templates must be created before starting a new mailing in order to be used. To view, edit and create new text templates, go to Settings under the main menu and then on to Templates.
Language settings¶
By default, Lime Inform is set to have Swedish as the language for mailing. Under Language settings you can choose to add or change this to English.
Mark affected areas¶
Find the address or area that you want to mark as the affected area and then use the drawing tools (circle, square or your own shape) at the top of the map to mark out one or more areas that are affected by the mailing.
When you are satisfied with the area you have selected and want to add it to the map to then save, you must for each selected area click on the green plus sign on the left of the map while you have the selected area selected (selected selected area has a red frame ).
If you regret a selected area and want to delete it from the map, you select the area with the mouse and click on the red trash can to delete it from the map. If you want to update the map and start again from the beginning, you do it using the yellow Update button on the left of the map.
Save to template¶
In the dialog box for Select affected area, a button below the map lights up when you have drawn an area, which makes it possible to save the selected area as a template.
Show recipients within the visible area of the map With mailing areas marked, you can click on the "Show recipients within the visible area of the map" button below the map to see how many recipients within the area will be reached by the message.
Then save and close the map when you have finished marking the affected areas to proceed.
This function requires that you as a customer have signed an agreement that makes this available from Lime Inform. Please contact Lime Gävle if you want help with this.
Retrieve area from map¶
Customers with access to their own map service can pick up areas from these to use as mailing areas from Lime Inform.

Select affected areas from template¶
If you have previously created map templates for different mailing areas, you can quickly select the affected areas from the list and click Save and Close to load the map template or templates that you want to use for this mailing.
Add attachments¶
Drag in files or click in the Add Attachments box to upload attachments which are then attached to the mailing if desired. Then click on the Next button to proceed to the next step and there choose through which channels your new mailing will be sent.
Select channels¶
In this step, you choose to which of the previously created mailing lists the mailing should be sent. Here you can select several mailing lists or only one. With broadcast lists selected, click the Next button to proceed to the next step and tune in channels.
Configure channels send list¶
If you have selected a mailing list that requires you to add a mailing area using a map, you must either select an area that will control who receives the message or use a previously selected area by clicking in that selection. If you use previously selected areas, all manually selected areas are removed.
If you want to add additional areas in addition to disturbance areas, click in the box "Use previously selected areas" first, before selecting more areas manually.
SMS settings¶
The option to Send SmartSMS instead of regular SMS is available to help you as a customer reduce the cost of sending. If you write messages that exceed the limit for the number of characters allowed in an SMS, Lime Inform automatically gives you the suggestion to turn long SMS into a SmartSMS instead. A SmartSMS gives the recipient a link to a web page with the complete message with more detailed information, the ability to change languages, see maps and attachments.
Warning
Obs! If the length of the message surpasses the the limit allowed, the sms will be split into atleast two parts. Every part will be charged as a normal sms. The warning below will be displayed for longer sms.
Map templates¶
Here you have the choice to use your predefined map templates to specify mailing areas if you have created them before. Click the Add button if you want to select a predefined map template to use as a mailing area.
Review¶
In the last step, review the message and its settings before choosing to Send. Here you can before sending your mailing preview recipients (and see how many recipients will be reached by the message) and also test send the message. If you choose to make a Sample Send, the message will only be sent to the person who created the message. When you feel satisfied with the mailing, click on the Send button to send the message.
Type of sendout¶
Lime Inform has four different types of sendouts:
- Information
- Event
- Warning
- Crisis
With the help of this type a warning notis can be posted on your website.
When to send the message¶
In Lime Inform you can set the date and time you want the message to be sent. If you do not choose something here yourself, the message will be sent immediately when you click Send.
If you choose to set when the message is to be sent, you are given the option to set a date and time when the message is to be sent.
Message is valid from¶
You can set a validity period for which date / time the message should be valid. If nothing is entered in this field, the same time as when the message was sent is automatically set.
Message is valid to¶
It is possible with Lime Inform to set a date / time for when the message will be valid until. If no value is specified, the message is active until it ends manually.
RSS Feed¶
To publish a message to the RSS Feed you create a message as descibed in earlier sections. Instead of selecting a sendlist when selecting channel you select the RSS feed you want to publish the message to. By submitting a msg_limit in the url param you can controll the amount that will be displayed.
Too remove a message from the RSS Feed set the message status to Cancelled (11).
All disturbances¶
Disturbances displayed here are dependent on status and start time. Disturbances with status Planned (1), Published (6) or Finished (9) are valid and with a start time within the last three months. The maximum amount of disturbances that can be displayed are 30.
Planned disturbances¶
Disturbances with status Planned (1) or Published (6) where the current time is greater than the start time of the distrubance. Limit is set to msg_limit or defaults to 10.
Ongoing disturbances¶
Displays all disturbances with status Published (6) where the start time of the distrurbance is greater than the current time. Limit is set to msg_limit or defaults to 10.
Historical disturbances¶
Checks status Finished (9). Limit is set to msg_limit or defaults to 10.
Templates¶
Text templates in Lime Inform help you get messages out quickly. Use keywords to make mailing even faster.
To see previously created text templates or create new ones, navigate via the menu to Settings> Text templates. Here is a list of previously created text templates, which can be individually edited or deleted.
Create new text template¶
To create a new text template, click on the green button Create new text template which is located at the top of the page.
Enter a Name for the text template, set Language and write a Heading followed by your Text. Add Keywords if desired, then click Save.
Keyword¶
Keywords are used in text templates to more easily replace specific words in connection with mailings. Keywords are highlighted by the word being surrounded by [%%], this is added when you click on the "Add keyword" button.
Example template with keywords:
We have interruptions in [% ORT%] and calculate that interruptions are ongoing until [% SLUTTID%].
Statistics¶
Overview¶
To get an overview of the mailings that have been made, navigate to Mailings via the menu and then Statistics. On the Statistics page, you can see graphs with statistics for the mailings you have previously sent through Lime Inform's various channels.
Use the tabs at the top of the four tables to switch views between its different channels. Choose to view statistics for three years, a year, a month or a week using the buttons above the chart.
Specific mailing statistics¶
To get an overview of a specific mailings that have been made, navigate to mailing via the menu and then List mailings. On the list page, you can navigate to the mailings of interest. By clicking on the statistics tab you will see an overview for this specific sendout.
Error messages¶
If something went wrong with a mailing, there is information about this on the Error Messages page, which you can access from the menu by first pressing Mailing and then Error Messages.
Name | Description |

Search | gives you the opportunity to search among error messages. |
Message | shows unique mailing ID. If you click on this, you can see the message. |
Recipients | show who has been intended as the recipient of the message. If there are several recipients, you can see the number. |
Channel | shows through which channels the message was intended to be sent. Here you can click on the Send list channel to see recipients that are in that send list. |
Reason | This column lists the reasons for not being able to send a message. In many cases it is due to incorrectly formatted recipient address. |
Delivery | method shows whether the mailing has been sent as an SMS, voicemail or e-mail. |
Time | indicates the time and date the mailing was attempted to be sent. |
SmartSMS¶
When sending SMS to the public or for internal preparedness, it is possible to send a Smart SMS instead of regular SMS, which takes the user on to a web app that can contain more detailed information than a regular SMS. For example, to display attachments and a live map of the disturbance area. If the message contains more than 160 characters, the SMS will be counted as 2 SMS, and for longer texts, one and the same message can be counted as 6 SMS per recipient. But by instead sending a smart SMS, which is always counted as one SMS per recipient, regardless of length, the SMS cost can be significantly reduced when sending to larger amounts of recipients and amount of text.
In connection with the preparation of a mailing containing an SMS recipient, the user is given the opportunity to choose whether a regular SMS or a SmartSMS is to be used. If the text in the mailing contains more than 160 characters, we will automatically receive a warning that your mailing will be counted as 2 SMS, or more based on the amount of text, per recipient.
Lime Inform will notify you via the system if the mailing you write will exceed the limit for regular SMS, and then propose to send SmartSMS instead of regular SMS.
SmartaSMS reduces the SMS cost (only one SMS per recipient) and gives the recipient a link to a website with more detailed information, the opportunity to change languages, see maps and attached documents.
SmartSMS URL settings must be set correctly for this feature to work. Read more about how to accomplish this in the section below.
Account settings¶
User settings¶
Users with the Administrator role can disable and add other users, as well as add social security numbers and change the role of other Users.

Please note that this only works with valid Swedish social security numbers and requires a BankID certificate.
Roles¶
Difference between account types User and Administrator Lime Inform has two types of roles: User or Administrator. Depending on the role of your account, Lime Inform's interfaces and features will differ. In short, a User is limited to sending Mailings and changing only their own account information, while an Administrator has full permissions.
Administrator¶
Administrators can change all account types regardless of Role. They have the authority to create Groups, Mailing Lists, Text / Map Templates, set up RSS & Websites and add links to social media.
Administrators also set which Permissions Users must have for the various channels.
The user management page, which logged in Administrators can only see.
User¶
Logged in with the role Users are given the opportunity to change account settings, but only for their own account.
Users can only send Mailings to channels to which they have previously been granted Authorization by an Administrator.

Permission settings¶
Permissions are settings that an Administrator accesses via the main menu. There you set through which channels a User should be allowed to send from.
Administrators can configure links to social media and Add / Remove permissions for Users to mail through them.
If you click on the Show / Add button for the various channels, you will be greeted by a dialog box where the Administrator is given the opportunity to see which Users have access to that channel.
Administrator can then also Add / Remove Users from the channel.
Administrators can also use the permission management to view and edit all the permissions of one user.
Group settings¶
You must be an Administrator to access Groups, which you can access via the Settings> Groups main menu. If you have created groups before, they will be listed here if you have permission to them.
Please note that this menu option and page is only available to Administrators and that the groups you see are only the ones you have access to.
Create a group¶
To create a new group in Lime Inform, navigate (only available to Administrators) via the main menu to Settings> Groups and click on the Create new group button.
Enter a name for the group (at least 6 characters), preferably as clearly as possible to make it easier for users to find it. Then write a more detailed description of the group (max 1000 characters).
The group's name and description will be displayed in the mobile application to introduce the group.
Finally, click Save to create the group.
The group is now created and you will be greeted by the message below, click Ok to close the dialog window and display the group in the list.
When you create a new group, you automatically get permission to the group.
To assign privileges to colleagues, click the Invite button in the list of groups.
You can also click on Settings> Permissions via the main menu to see a list of created groups and set permissions for users there. Read more about Permissions in this article.
If you click on View / Add for selected group, you can see previously added users and choose to add users to the group from a list.
Click Settings in the list of groups to open the dialog box in the image below and set additional properties for the group.

Delete the group | Deletes the current group. If you delete the group, all data concerning the group will be deleted. For example, information, group members, messages etc. |
Validation | View the group's QR code Click on the tab Show the group's QR code to see and be able to save the image. |
Password | Enter a password or use the Generate a Random Password button to set a password that needs to be entered by new members to join the group. |
Hidden group | Uncheck this box if you do not want the group to be hidden. Hidden groups are not visible in the app and require a QR code to connect. |
Group validation¶
On the Group Validation tab, you can choose to activate predefined fields from a list, which need to be filled in by new members in order for them to be validated and be able to join the group. Check the fields that you want the user to enter when joining the group. If the suggested names of the fields do not match, it is a good idea to enter your own names instead.
Fill in a description of why you need this information from the user and how you will use it. Then enter a URL (web address) for general terms or your privacy policy. Then fill in the Name of the link, which will be displayed as the visible link that members can click on, e.g. Terms and Conditions.
Group members¶
This tab contains a list of all members of that group. Opportunity to search among members is available. You can also sort the columns by clicking on the column names.
Warning
Important to know about the Group Members tab
If a validation field is deleted after users have joined the group, all data collected for that particular field will disappear.
If a validation field is added after users have joined the group, only new users will get values in the new field.
